How to complete a learner amendment

Please Note: If the results have already been processed for learners who’s name details are inaccurate, you will need to refer to our Replacement Certificate Form to enable amendment of learner records and issue of new certificate.

 

  1. Select Actions:
    • Click on ‘Actions’.
    • Choose ‘Your Cohorts’ from the dropdown menu.
  2. Locate Your Cohort:
    • Your cohorts will be listed.
    • Use the search parameters if needed to find a specific cohort.
  3. Select Cohort ID:
    • Once the desired cohort is found, click on the Cohort ID number.
  4. Access Learner Information:
    • Scroll down to see the list of learners.
  5. Amend Learner Information:
    • Click on ‘Actions’ drop down (against the learner)
    • Choose ‘Amend Learner Registered Information’.
  6. Make the Necessary Changes:
    • The learner’s registration details will appear, based on the original template.
    • Make the required amendments
  7. Confirm Amendments:
    • Once satisfied, click on ‘Amend Learner Registration Information’.
    • A confirmation box will appear showing:
      • The original submission details.
      • The amendments you’ve made.
  8. Submit the Amendments:
    • Click ‘Submit Registration Amendments’.
  9. Review Process:
    • Most amendments are processed automatically.
    • Important: Changes to learners’ names or dates of birth require review by Gateway Qualifications.
  10. Await Confirmation:
    • Do not submit duplicate requests while awaiting review.
    • You will receive email confirmation of:
      • Completion,
      • Rejection, or
      • A request for additional information, if needed.
